The approvals queue gives you a human checkpoint: when the AI proposes something that needs your sign-off, it pauses and waits for you to approve or reject before anything goes out.

Why approvals exist

Approvals exist for safety and control. They let you keep the speed of automation while staying in charge of the moments that matter most to your business and your customers. Approvals are especially useful when:
  • A reply or action involves pricing, scheduling commitments, or anything that sets a customer expectation.
  • The AI is newer to your business and you’re still building trust in how it responds.
  • A request falls outside what the Knowledge Hub clearly covers, so the AI flags it for a person instead of guessing.
Approvals never block your customers from reaching you. While an item waits for review, the conversation stays open in your unified inbox so you can step in directly at any time.

How the approvals queue works

When the AI Employee decides an action needs a human OK, it places that proposed action in the approvals queue instead of running it. Each queued item shows you what the AI wants to do, the conversation it relates to, and the draft message or action it has prepared.

Open the approvals queue

Go to the AI Employee area and open the approvals queue. Items waiting on you appear at the top so nothing slips through.

Review the proposed action

Read the full conversation context and the action the AI has drafted. You can see exactly what would be sent or done if you approve.

Approve or reject

Approve to let the AI carry out the action as drafted, or reject to stop it. You can also edit a drafted reply before approving so the final message reads the way you want.

Confirm it ran

Once approved, the action runs and the message goes out. The conversation updates in your inbox so you can confirm the result.
Editing before you approve is a fast way to teach the AI your preferred tone and wording. Over time, your edits help it draft replies you can approve with confidence.

Choosing what needs approval

You decide how much autonomy the AI Employee has. You can let it act on its own for routine, low-risk replies and reserve approvals for higher-stakes actions. Tuning this balance is part of setting up your AI Employee and refining your automations.
If approval items sit untouched, those actions won’t run and customers won’t get the AI’s response. Check the queue regularly, or enable mobile push notifications so you’re alerted the moment something needs your review.
