Whether you’re switching from another CRM, spreadsheets, or paper, you can bring your customer list and history with you. You can also export your own data at any time, because it belongs to you. Importing contacts and history

The most common first step is importing your existing contacts. Revenue Sol accepts a standard CSV file, which you can export from almost any other CRM, spreadsheet app, or accounting tool.

Prepare your CSV

Export your contacts from your old system as a CSV. Make sure each contact has at least a name and a phone number or email so the AI receptionist and unified inbox can match incoming messages.

Upload the file

Go to your contacts and choose the import option, then select your CSV file.

Map your columns

Match each column in your file to a Revenue Sol field, such as name, phone, email, address, tags, and notes. Unmatched columns can be skipped.

Review and confirm

Check the preview, then run the import. New contacts are created and existing ones can be updated where records match.
Clean your data before importing. Removing duplicates and standardizing phone numbers to a consistent format up front saves cleanup work later and improves matching across calls, SMS, and email.
For account history such as past jobs, invoices, or notes, importing alongside contacts keeps everything connected. If you’re moving accounting data, you can also connect QuickBooks so customers and invoices stay in sync rather than importing them manually. See Integrations for setup details.

Exporting your data

Your data is always yours. You can export contacts, leads, and reporting data to a CSV file whenever you need it for backups, accounting, or analysis in another tool.
  • Contacts and leads export as CSV with the fields you see in the CRM.
  • Reports and analytics can be exported so you can build your own spreadsheets or share figures with your accountant.
  • Invoices and payments records are available for reconciliation and bookkeeping.
Exports reflect your current data at the time you run them. Run a fresh export whenever you need the latest snapshot.

Supported formats and limits

CSV (comma-separated values) is the supported format for both import and export. It opens in Excel, Google Sheets, Numbers, and virtually every CRM and accounting tool.
For best results, keep import files reasonably sized. If you have a very large list, split it into multiple files and import them in batches. This makes it easier to review results and correct any rows that don’t map cleanly.
Name and at least one contact method (phone or email) are essential. Address, tags, and notes are recommended so segments, routing, and reminders work well from day one.
Matching on phone or email helps avoid duplicates. Standardize these fields before importing, and review the preview to confirm how matched records will be handled.
Yes. Connecting QuickBooks keeps customers and invoices in sync automatically, which is usually cleaner than a one-time CSV import.
Imports that create or update many records cannot be undone in bulk. Review the preview carefully and start with a small test file if you’re unsure about your column mapping.
